7. Cancellation or Changes by the School
Nant-y-Cwm Steiner School reserves the right to alter activities, staffing, daily plans, or the part of the site being used where reasonably necessary for safety, weather, staffing, or operational reasons.
If the school cancels the whole programme before it begins, a full refund will be given.
If the school has to cancel a day or part of the programme for reasons beyond its control, including severe weather or unsafe site conditions, it will make every reasonable effort to adapt the programme, provide an alternative arrangement, or offer a suitable refund, credit, or transfer at the school’s discretion.
8. Weather
This is an outdoor programme and will run in a wide range of weather conditions. Children must come prepared for outdoor provision in sun, rain, wind and mud.
The programme will only be cancelled, stopped, or significantly altered where conditions are considered unsafe by the provider.

Parents and carers must provide full and accurate information at the time of booking about:
- medical conditions
- allergies
- dietary requirements
- medication
- behavioural needs
- additional needs
- any other information relevant to the child’s safe participation
The programme is able to consider children with conditions including, for example, allergies, asthma, autism, ADHD, diabetes and epilepsy, but this is always subject to discussion and any necessary risk assessment.

10. Medication
Medication must be:
- clearly labelled
- in date
- handed to staff at drop-off
Parents must provide clear written instructions where medication is required.
Staff may supervise self-administration and, where agreed in advance, may administer medication in accordance with the information provided by parents.
11. Emergency Medical Treatment
In the event of an accident or medical emergency, staff will make every reasonable effort to contact a parent or emergency contact.
If neither can be reached and urgent treatment is required, parents and carers authorise staff to seek emergency medical advice and treatment on behalf of their child.
12. Collection Arrangements
Children may only be collected by adults listed on the application form, unless an alternative arrangement has been agreed with the school in advance.

15. Behaviour Expectations
Children are expected to behave respectfully and safely throughout the programme. We ask all children to treat others in the group as they themselves would wish to be treated.
Unsafe, aggressive, or persistently disruptive behaviour may result in a child being collected early or excluded from the remainder of the programme.
In such cases, no refund will be given.
